Job Description – Membership Chairperson

The Membership Committee Chairperson maintains a record of all members and provides updated information to the web manager monthly and the yearbook chairperson before fall publication. The membership chair keeps a record of each member’s date of joining the EAGC, makes applications available for prospective members, informs the board as new members join, and welcomes new members at the general meeting,

The chair advises the corresponding secretary of new members for the issuance of a letter of welcome. The chairperson informs the web manager of new members so they can be added to the distribution list on the website when they join and provides the web manager with updates of current members’ personal information. The chair provides each new member with a copy of the bylaws and a current yearbook.

At general meetings, the chair or a committee member welcomes all attendees, has name tags available for guests and members, and collects them at the end of the meeting. The chairperson displays members’ birthdays at the refreshment table at general meetings.

The Membership Chairperson is responsible for the annual EAGC Yearbook. Beginning after the annual meeting in June, the chairperson assembles facts for inclusion in the annual yearbook. This includes requesting information from the website, the membership, hospitality, and program chairpersons, and the president, as well as photographs of the members. The Yearbook chairperson creates the yearbook, arranges to have it proofread and printed, and provides copies to the membership committee for distribution to members at the September general meeting.

The Membership Chair oversees the corresponding secretary, who writes all notes of condolence or appreciation, responds to all invitations, answers written requests for information, and keeps a log of such correspondence. The corresponding secretary writes letters of welcome to all new members. On occasion, the corresponding secretary shall recommend to the board that a memorial gift in honor of a member or family member be considered by the board.

The corresponding secretary shall keep copies of such letters as are necessary for EAGC reference and turn over such papers as are pertinent to his or her successor. The corresponding secretary is expected to attend as many board meetings as possible during the year.

The Membership Chair is expected to attend as many board meetings as possible during the club year. The Membership committee budget is set by agreement between the board and the chair.
